How to Print to PDF in Windows 11

Want to save a photo, spreadsheet, document, email, or webpage as a PDF file on your Windows 11 PC? If so, all it takes is just a few clicks. Here’s how to use your computer’s built-in PDF print feature to convert your files to PDF.

It works like this: you use the PC’s built-in virtual “Microsoft Print to PDF” feature. a printer to print your files. Instead of physically printing your files, this virtual printer opens a prompt allowing you to save your printable files as PDFs. This means you can use any print-enabled app, such as Chrome, Excel, or Photos, to convert your files to PDF.

Print an image to PDF

To turn an image into a PDF, use the built-in Photos app in Windows 11 and Microsoft’s Print to PDF virtual printer. You can also use another photo viewer if it supports printing.

First, launch Explorer and find the photo file. Right-click the file and select Open With > Photo from the menu that opens. If the Photos app is the default image viewer on your computer, simply double-click the image file to launch it with the app.

When the photo opens in the Photos app, at the top of the app, tap the three dots and select Print. Or press Ctrl+P.

In the Print window, click the Printer drop-down menu and select Microsoft Print to PDF. Adjust other print settings as needed, and then select Print.

The Save Print Output As window opens. Here, select a folder to save the resulting PDF, enter a name for your PDF in the File Name field, and select Save.

That’s all. A PDF version of your photo is now available in the folder you selected.

Print an Excel Spreadsheet to PDF

To convert an Excel spreadsheet to a PDF file, use the Excel application and your PC’s built-in virtual PDF printer.

To begin, open your spreadsheet in Excel. Then open the print screen by pressingCtrl+Por by choosing File > Print.

Open the Printer drop-down menu and select Microsoft Print to PDF. Adjust other print settings as necessary. Then click “Print”.

You will see the Save Print Output As window. Here, select a location for your PDF file, enter a file name in the File Name field, and select Save.

A PDF version of the Excel spreadsheet is now available in the folder of your choice. Ready.

Print a Word document to PDF

Saving a DOC or DOCX file as a PDF is as easy as selecting a few options in the application. To do this, first open the document in Word.

Then open the print section by clickingCtrl+Por by choosing File > Print.

Click the Printer drop-down menu and select Microsoft Print to PDF. Adjust other print settings if desired. Then click “Print”.

The Save Print Output As window opens. Here, select a folder to save the PDF version of the Word file, enter a name for your PDF file in the File Name field, and select Save.

A PDF copy of your Word document is now saved in the folder you selected.

Print Outlook Email to PDF

You can use the Print to PDF feature in Windows 11 to download Outlook emails as well. With this feature, you can create offline copies of important emails in PDF format in Outlook app.

To do this for your emails, open Outlook and access the email you want to save as a PDF. Then either clickCtrl+P, or choose File > Print.

Open the Printer drop-down menu and select Microsoft Print to PDF. Adjust other printing options by clicking Print Options if desired.

Then select “Print”.

The Save Print Output As window opens. In this window, navigate to the folder where you want to save the PDF file, enter a file name in the File Name field, and click Save.

A PDF copy of your email is now saved in the folder you selected.

Print a web page to PDF

Just like local PC files, you can also print your favorite web pages in PDF format. It allows you to save your favorite online content as a local file on your computer.

To do this, follow the instructions below for your web browser:

Google Chrome

In Chrome, open your favorite web page. Then either press Ctrl+P or select the three dots in the top right corner and select Print.

In the Print window, click Destination and select Microsoft Print to PDF. Adjust other print settings as necessary. Then select “Print”.

In the Save Print Output As window, select a folder to save the PDF of the web page, enter a name for the file in the File Name box, and select Save.

You have successfully saved a copy of your favorite webpage in PDF format on your computer.

Mozilla Firefox

If you are a Firefox user, first open your web page in your browser. Then either clickCtrl+P, or go to the hamburger menu (three horizontal lines) and select Print.

On the Print screen, click the Printer drop-down menu and select Microsoft Print to PDF. Adjust other print settings if desired. Then select “Print”.

In the “Save Print Output As” window that opens, select a folder to save the PDF file, enter a name for the PDF file in the “File Name” field and click “Save.”

And you have successfully turned your web page into a PDF file on your PC.

Microsoft Edge

To make PDF copies of web pages using Edge, first launch this web browser on your PC and access your favorite web page. in the right corner, click on the three dots and select “Print”. Or clickCtrl+P.

You The Print window will appear. Here, click the Printer drop-down menu and select Microsoft Print to PDF. If desired, set other print options, then click Print.

In the Save Print Output As window, select a location to save the PDF file, enter a file name in the File Name field. ” and select “Save”.

And you’re done.

What to do if Windows 11 doesn’t have the Print to PDF feature

If you don’t see the Microsoft Print to PDF virtual printer in your apps, the feature may be disabled on your Windows 11 PC. If so, enable the feature and you’ll be able to save files as PDFs across all print-enabled apps.

To enable this feature, open the Run dialog box on your PC usingWin+R. In this field, enter the following command and clickEnter:

You will see the Windows Components window. Here, enable the Microsoft Print to PDF option and click OK.

Please wait until Windows adds this feature to your system. When this is done, close the open window by clicking “Close”.

Now this feature is enabled, you will see the Microsoft Print to PDF virtual printer in all your printing applications.
